外贸函电技巧非常重要,尤其是在与不同国家和地区的客户进行沟通时。曾经有一个英语八级的助理,她总是喜欢在E-mail中使用各种复杂的语法和词汇,让人看起来很费劲。但实际上,写商务邮件时越简洁越好,这是一个外贸人员水平的体现。

如果我们写给母语不是英语的客户或者像韩国、日本、中东、法国等国家的客户时,应该特别注意简洁。他们可能需要查词典或翻译工具才能理解邮件的内容,这会影响我们与客户的交流效果。

丘吉尔曾经说过:“真正的高手,你要把最复杂的东西用最简洁的文字表达出来。”在外贸函电中,我们要尽量使用简单的句子和词汇,让人们易于理解。能用一个词表达的,就不要使用两个词或短语,能用一句话写清楚的,就不要写两句。

举个例子,我以前招聘助理时,会考查他们的E-mail(电子邮件)水平。我把中文意思告诉他们,然后让他们用英文来模拟一封邮件。内容很简单,如果我们要向客户Mike发送一封邮件告知他上次收到的样品已经寄给工厂,但工厂表示材料不是ABS而是PP,需要重新核算价格,同时还需要确认近期内原材料的涨价情况,希望Mike能尽快确认以便我们采购原材料并安排生产。

第一个候选人是这样写的:

Dear Mike,

This is Jenny from EDF Co. Ltd. We're so pleased to receive your samples. Ialready sent them to our factory last week ,and was informed the real materialis PP,not ABS as you mentioned last time. What's the matter?

Ill give you reply as soon as we get the offer from the factory.It will take sev-eral days. Please be more patient. But they also told me,the cost of raw ma-terial increased these days. Could you please confirm the price quickly afteryou get it? We'll purchase the raw material and do the production imrnediately !Looking forward to your reply.Thank you !

这封邮件写得好吗?老实说还可以。虽然主动语态和人称多了点,但是内容都点到了,表达也算通顺,用的词汇也都是挺简单,不难理解。但谈到外贸函电技巧而言,是不是有点啰唆?如果能简洁一点是不是更好?

我们再来看看第二位候选人写的email :

Dear Mike,

How are you?

We received your all samples.The factory checked the details,and found thematerial was PP,not ABS as you told.

Please give them some more time to re - check the price,because the materialis different from the past orders. However,the price of material was increasedvery quickly !Therefore,please kindly place the order soon if the price is okfor you!We'll do production asap.

个人觉得这一封比上一封好一点,毕竟主动和被动语态结合,“We”只出现了一次,不算太枯燥。内容也稍微简单了一点,点到位了。最重要的是,他把purchase the raw material去掉了,直接用We'll dothe production asap.这样更简洁。但就外贸函电技巧来说,个人感觉还是啰唆了一点。

我会这样写:

Hi Mike,

Samples were received and already passed to vendor. The material was PP,not ABS. Offer sheet is being prepared and will be sent to you soon.

By the way,the cost of raw material increased these days.Please make a de-cision quickly to go ahead after price confirmed. We'll arrange the mass pro-duction asap.
